Home Safety and Your Property Handover File

Create one secure, useful file for owners, authorised visitors and trades.

Prepared 21 October 2026

A property handover file should help an authorised person make sensible decisions without exposing private information. Keep access credentials separate from documents that may be shared widely.

Property information

  • Civic address, directions and safe parking/access arrangements.
  • Owner and backup contact, plus who may authorise work.
  • Contacts for heating, plumbing, electrical and other relevant trades.
  • Equipment manuals, service history and a professional's instructions for shutoffs.
  • Known hazards, restricted areas and any access limitations.

Safety planning

Have smoke and carbon-monoxide alarm arrangements reviewed against current requirements and manufacturer instructions. Record servicing and replacement information. Review escape routes and the household emergency plan. Consult Health Canada guidance if arranging radon testing; a routine visual property visit cannot assess radon levels.

For visitors and guests

Keep the civic address and emergency instructions easy to find. Explain any private-water system, unfamiliar heating equipment and waste arrangements. Direct people to current provincial burning restrictions and applicable local rules rather than leaving an undated statement that fires are permitted.

Security and privacy

Share keys and codes only with authorised people. Keep a record of who has access and update it when arrangements end. Avoid including security codes, occupancy dates or client-identifying photographs in public posts.

Review at each handover

Update the file before a long absence, a new tenancy, major work or a change of provider. Confirm the response plan and the limits of any booked service.
